Objective 1: What NOT TO DO?

               Objective 2: What TO DO?

               Objective 3: Word of caution

               Objective 4: Final advice

Case study: Organizing a world class sporting event emphasizing on lean project management.

Objective 1: What NOT TO DO?

Submit a report less than 2500 (will be penalized 5% of total available marks)

Submit a report more than 3000 words. Will be penalized as follows:

            3001 - 3300 words: 5 marks

            3301 - 3600 words: 10 marks

more than 3601 words: 15 marks

Late submission (without prior VALID extension request and approval - penalties at 5% for each calendar day or part thereof that it is late of the total available mark)

Any academic misconduct – plagiarism, contract cheating, colluding with other students, etc – may result in 0 (zero) marks.

Objective 1: What NOT TO DO?

Reproduce statements from PMBOK or PRINCE2 or any other references without proper context.

Example 1:

Leadership is knowledge, skills and behavior required to guide, motivate and direct a team to achieve its business goals (copied from page 56 of PMBOK).

This is considered plagiarism, instead you must show how you would apply that statement to your case.

Example 2:

PMBOK version 6 constitutes 10 knowledge areas, 5 process groups and 49 process activities or PRINCE 2 consists of 7 Principles, 7 Themes and 7 Processes.

Produce your answers for the case in question. DO NOT write about the theory or explain what PMBOK, PRINCE2, DMAIC methodology, etc covers. That will not attract any marks. You should demonstrate the application of the best practices not the theory.

Objective 1:What NOT TO
DO?

Reproduce statements from PMBOK or PRINCE2 or any other references without proper context.

Example 3 (student statement in red):

The Project Management Body of Knowledge or the PMBOK is the process of administrating the project. It basically collects the information advancement of and event during a specific time and acts per the Guide to Project Management Body of Knowledge protocols. Through Work Breakdown Structure or WBS, PMBOK operates and it determined the different operational factor of the event (Cucoranu et al., 2014). Ranging from financial inclusion to setting rule for authoritative conduct, PMBOK operates single handed to enhance the performance of the event while reducing the cost of the same

The above sentence has no meaning and does not address the marking rubric whereby you are expected to name the respective PMBOK process activity identifying the knowledge area and the process group where the process activity operates. You will then elaborate how the selected process activity helps you achieve lean project management (by addressing the waste elements it will reduce / eliminate in the management of the project).

Objective 1: What NOT TO DO?

Reproduce statements from DMAIC Methodology or any other references without proper context.

Example 4 (student statement in red):

We will use control phase of DMAIC methodology to measure the current on going process of fifa and in this phase team is responsible to measure the current process of fifa project. Data gathering. This is the main step to assess the all documents of data of on going process to measure the current process and for data gathering we need to create worksheet. Data collection plan, it interprets the sequence of whole process that needs to be followed in data gathering process of fifa tournament.

The above sentence has vague meaning. The student is not able to demonstrate how to use the CONTROL phase of Lean Six Sigma DMAIC methodology correctly.

Objective 2: What TO DO?

READ THE QUESTIONS CAREFULLY

Questions:

1.With regards to the event that you have chosen to organize, identify and elaborate: a.The processes from PMBOK or Prince2 that you would use to help with the stakeholder management. The critical stakeholders for the event.

2.In what ways would you have implemented lean project management for this event? (You need to identify and elaborate the areas and opportunities where you can eliminate waste).

3.Identify and elaborate processes from PMBOK, PRINCE2, Organisational Project Management (OPM), Agile Practices and Lean Six Sigma (DMAIC Methodology) that could be used to implement lean project management.

Objective 2: What TO DO?

Q 1. With regards to the event that you have chosen to organise, identify and elaborate:

a.          The processes from PMBOK or Prince2 that you would use to help with the stakeholder management.

b.          The critical stakeholders for the event

How to answer?

  Read and understand Slides 31 – 41 of Wk 2 Lecture (for PMBOK) or Slide 12, 22 - 27 of Wk4 Lecture (for PRINCE2)

Choose either the PMBOK or PRINCE2 approach to answer this question

Q1 a. You must explain the respective processes for stakeholder management (either PMBOK or PRINCE2 approach)

Q1 b. You must identify and segregate the stakeholders for this event. Please visit the respective games website:

i. FIFA QATAR 2022:

https://www.fifa.com/worldcup/qatar2022/,https://www.fifa.com/about-fifa/marketing/index.html, etc

ii. BIRMINGHAM COMMONWEALTH GAMES 2022:

to find the required information. Who could be the critical stakeholders?

Objective 2: What TO DO?

Q 2. In what ways would you have implemented lean project management for this event? (You need to identify and elaborate the areas and opportunities where you can eliminate waste).

How to answer?

Refer to Slide# 18 of Wk1 Lecture and watch the video - V1.The Seven Waste for Lean Foundation (8 mins) from Wk1 tab

Now identify areas where you can generate opportunities to reduce or eliminate waste for the sporting event that you have chosen and identify the best practices that can help you achieve lean project management.

Objective 2: What TO DO?

Q 2. In what ways would you have implemented lean project management for this event? (You need to identify and elaborate the areas and opportunities where you can eliminate waste).

Objective 2: What TO DO?

Q 3. Identify and elaborate processes from PMBOK, PRINCE2, Organisational Project Management (OPM), Agile Practices and Lean Six Sigma (DMAIC Methodology) that could be used to implement lean project management.

How to answer?

Based on what you have provided in Q2, now elaborate in greater detail how the selected processes from each of the best practice can be used to deliver lean project management.

When discussing PMBOK or PRINCE2, you need to correctly link the chosen processes to respective Knowledge Area and Process Group (for PMBOK) or the Principles and Themes (where applicable for PRINCE2)

When discussing OPM, Lean Six Sigma and Agile practices you must demonstrate thorough understanding to attract maximum marks.

Objective 2: What TO DO?

Q3. Identify and elaborate processes from PMBOK, PRINCE2, Organisational Project Management (OPM), Agile Practices and Lean Six Sigma (DMAIC Methodology) that could be used to implement lean project management.

Objective 2: What TO DO?

Proper linking and elaboration demonstrating your understanding for the appropriate usage of the best practice (the respective processes)

Example 3 (student statement in red):

The Project Management Body of Knowledge or the PMBOK is the process of administrating the project. It basically collects the information advancement of and event during a specific time and acts per the Guide to Project Management Body of Knowledge protocols. A better way of writing would be:

I will use two process activities - Create WBS and Validate Scope from knowledge area Project Scope Management. Create WBS process activity will be used to clearly outline the full scope - which will capture the inclusions and exclusions of the project. The resulting WBS document will be presented to all relevant stakeholders to Validate Scope and obtain approval. Create WBS process activity will be used from the planning process group while Validate Scope from the monitoring and controlling process group. By doing so, we can avoid potential conflict if incorrect scope was presented and risk getting into unproductive discussions with stakeholders. This will save us a lot of time (reduce/eliminate Waiting) and effort (reduce/eliminate over processing) thus helping us to become more lean in the management of our project.

A better way of writing would be:

I will deploy processes from the CONTROL phase of the DMAIC Lean Six Sigma methodology to firstly determine process parameters that need to be measured. These parameters will become the process control systems to help achieve lean project management. For instance for the delivery of food items to the kitchen (from suppliers), I will monitor the number of times late delivery occurs. To manage this process, I will ensure the suppliers are aware of the measurement process and how their performance is monitored. Each kitchen supervisor will maintain a checklist which will indicate the expected delivery time versus the actual delivery time. Supervisor will key in the actual delivery time and suppliers will acknowledge by signing off the document. This way, suppliers will get immediate feedback. Their performance can be graphically displayed through process charts (graphs). This facilitates statistical process control to be institutionalized for managing supplier performance. Other instances for the application of the CONTROL phase processes could be for monitoring the quality (freshness) of items delivered or to monitor the correctness (in terms of quantity and correct cooking items delivered as per order).Through the institutionalization of these processes, we can reduce / eliminate poor supplier performance thereby avoiding any unnecessary stocking of food items (inventory) which may compromise the quality of meals prepared for participants.

Objective 3: Word of caution

Academic misconduct will be dealt on a case to case basis (in the past, students who plagiarized, colluded, used contract cheating etc received zero (0) marks)

It is NOT impossible to identify students who are involved with academic misconduct

Apart from TurnItIn (which will be the first avenue that will identify academic misconduct), we have other mechanism that work in parallel.

DO NOT INDULGE in any form of academic misconduct as it may result in you FAILING the unit.

DO NOT DISAPPOINT YOURSELF and YOUR LOVED ONES

Use proper reference documents. You only need to provide 5 – 10 references that would support your discussion (you may reference the journal articles, J1 – J21, provided in this unit)

EARN YOUR MERITS through integrity and hard work.
